ADMINISTRATION
Panic Alarm System
Application - For All Staff

Policy:
  1. It is the policy of the Society that a panic alarm system will be installed, so that direct police support will be available should the need arise for client visits, interviews and unscheduled appearances at the Head office and branch office locations of the Huron-Perth Children’s Aid Society.

ADMINISTRATION
PANIC ALARM SYSTEM
Application - For All Staff

Procedure:

For Contentious Visits

  1. The employee shall notify reception, their respective manager and all staff if necessary of the location and times of the visit.
  2. The employee shall make every effort to test the system with the administrative staff one hour before the visit is to occur.
  3. If unable to be there for testing, the staff member shall arrange with their respective administrative person to participate in the testing in their absence.
  4. That the test will consist of:
    • administrative staff will call the monitoring station at 1-800-265-3118 to inform them of the test period (no less than 30 minutes) and specify what system will be tested.
    • staff member or their respective administrative person will go into the designated visit room with the assigned pod (medallion) and press the button.
    • Administrative staff will ensure that the light shows up on the keypad in the reception area and the alarm is audible in the reception area.
    • Administrative staff will call the monitoring station to ensure they received the alarm and if system tested correctly inform monitoring station that the test period is over and all systems can be operational and all alarms are to be treated as live from this point forward.
    For Testing once per month of Panic Button and Pods
  1. Two administrative staff members will test the panic button and all pods once per month.
  2. The test will consist of:
    • Administrative staff will call the monitoring station at 1-800-265-3118 to inform them of the test period (no less than 30 minutes) and specify that both the panic button and the pods will be tested during this time.
    • Staff will test pods first. One staff member test each pod in each room. Pod # 1 is assigned specifically to room # 3. All other pods can be used in any of the rooms at the MacEwan Street site. At the Hibernia Street Site all Pods can be used in all rooms.
    • Staff at reception will watch the keypad to ensure the appropriate light is coming on each time.
    • Once all pods have been tested in each room. Staff at reception will press the panic button.
    • Staff will call the monitoring station to ensure all alarms were sent. Once verified that all tests were successful, Staff will request the test period be cancelled and all systems be activated with live alarms from this point forward.
    • Staff will document in test file the date of the test specifying which equipment was tested and if the test was successful.
  3. The Office Manager will arrange with the service provider to test the system once per year.
